Convert Intake to Case

Converting an intake promotes a qualified lead into a full HACA case in the cases system.

Before converting

Confirm the intake is qualified:

  • Client information is complete and verified
  • Vendor assignment is correct
  • No duplicate case exists (check related records)
  • Intake has been claimed by the responsible staff member

Convert an intake case

  1. Open Case Intake and select the intake row.
  2. Review all fields on the intake detail view.
  3. Click Convert (or Convert to case).
  4. Review the confirmation modal — conversion may create case records in external systems.
  5. Confirm conversion.

After conversion

  • The intake status changes to converted.
  • A new or linked case appears in Cases.
  • Open the case from the success link or search Cases by client name.
  • The case Intake tab may show intake history.

If conversion fails

  • Check validation errors on the form — missing required fields block conversion.
  • Verify vendor and client data meet backend rules.
  • Contact an org admin if systemic errors persist.

Decline instead

If the intake is not qualified:

  1. Open the intake detail.
  2. Click Decline.
  3. Provide a reason if prompted.
  4. The intake is removed from the active queue.
