Email Templates

Email Templates store reusable message content for vendor mail, notifications, and other communications.

Access

Settings → Email Templates (/emailTamplates)

Available to org_admin and vendor_admin.

Template list

Browse existing templates with name, subject, and last modified date.

Create a template

  1. Click New template.
  2. Enter template name and subject line.
  3. Compose body content (HTML or rich text depending on editor).
  4. Use tokens or placeholders for dynamic fields when supported (e.g., client name, case ID).
  5. Save the template.

Edit a template

  1. Click a template row.
  2. Update subject, body, or metadata.
  3. Save changes.

Existing communications already sent are not affected by edits.

Use templates in workflows

Templates are referenced from:

  • CTC vendor mail composition
  • Other case actions that send email

When composing vendor mail, select a template to pre-fill subject and body, then customize before sending.

Best practices

  • Include clear subject lines for vendor-facing mail.
  • Test templates with sample data before production use.
  • Version major changes by creating a new template name rather than overwriting historical references.
