Organization Admin Guide

Organization Admins (org_admin) have the highest level of access within the Higbee & Associates organization. This guide summarizes your responsibilities and common tasks.

Your access

As an org admin you can:

  • Access all Higbee org sidebar features (Cases, Intake, Hearings, Vendors, Offers, Approvals, CTC, Tasks, Emails/Calendar)
  • Open Settings → Users, Attorneys, and Email Templates
  • Configure HATS: Procedures, Labels & lists, Automations
  • View All clients and All offers in approval queues
  • Assign and remove case user assignments on cases
  • Assign attorneys to hearings
  • Review and decide CTC requests
  • See all HATS tasks (not only your own)

Common tasks

Invite and manage users

  1. Go to Settings → Users.
  2. Invite new users or open an existing user to edit roles and vendor access.
  3. Only org admins can invite Case User and Attorney User role types.

Configure HATS workflows

  1. Procedures — Define multi-step workflows that run on cases.
  2. Labels & lists — Manage EAV attribute catalogs used for case and file labels.
  3. Automations — Set up rules that trigger procedures or notifications.

Manage case assignments

  1. Open a case from Cases.
  2. Go to the User Assignments tab.
  3. Add, edit, or remove staff assigned to functional roles (Case Manager, Negotiator, etc.).

Review approvals

  1. Open Approvals in the sidebar.
  2. Switch between Clients and Offers tabs.
  3. Use My clients, Client pool, or All clients views (org admins see all).
  4. Open a row to approve or reject with optional rejection reasons.

Oversee intake

  1. Open Case Intake to monitor the intake queue.
  2. Claim, decline, or convert intake cases to full HACA cases.
  3. Create manual intake requests from Case Intake → New.

Manage CTC

  1. Open Consent to Communicate.
  2. Create new CTC requests or review pending items.
  3. Accept/reject requests and compose vendor mail when approved.

Tips for administrators

  • Use Tasks badge in the sidebar to monitor organization workload.
  • Configure Email Templates before staff send vendor or client communications.
  • Keep the Attorneys directory current for hearing assignments.
  • Use Feedback in the header to report bugs or request features.
