Organization User Guide

Organization Users (org_user) are Higbee & Associates staff who work cases, intake, hearings, approvals, and daily operations. You have broad access but not full HATS configuration or user administration.

Your access

As an org user you can:

  • Use Cases, Case Intake, Hearings, Vendors, Offers, and Approvals
  • Access Consent to Communicate and Tasks
  • Connect Emails and Calendar (when Microsoft 365 is enabled)
  • Assign attorneys to hearings (with org admins)
  • Review CTC requests
  • Apply and filter case labels (tags)
  • Edit case details (when permitted for the case vendor)

You cannot:

  • Access Settings → Users, Procedures, Automations, or Labels & lists (org admin only)
  • Add or remove case user assignments (org admin only)
  • See All clients approval view (org admin only; you see My clients and Client pool)

Daily workflow

Start your day

  1. Check Tasks for assigned workflow items.
  2. Review Approvals for clients or offers assigned to you or in the pool.
  3. Open Case Intake for new leads awaiting claim.

Work a case

  1. Find the case from Cases using search or filters.
  2. Review Details, add Notes, upload Files.
  3. Use the Actions panel to run procedures or case actions.
  4. Check Hearings and Offers tabs on the case when relevant.

Handle hearings

  1. Open Hearings or the case Hearings tab.
  2. Open a hearing to view details.
  3. Use Assign attorneys to set appearing counsel and main attorney.

Process intake

  1. Open Case Intake.
  2. Claim a case to take ownership, or Decline if not a fit.
  3. Convert qualified intake to a full case when ready.

Manage CTC

  1. Create CTC requests when vendor communication consent is needed.
  2. Review pending requests and accept or reject.
  3. Compose vendor mail after approval.
